CEDARS SERVICE 100 FUND

A. Objectives

The Service 100 Fund aims to promote the service spirit of the HKU community and encourage students to engage in action to address a concern of the community or global problem that confronts all mankind.

B. Eligible Projects

The Fund supports projects which adopt a service learning approach and are:

    1. Organised or led by HKU students or student bodies; or
    2. Organised by HKU staff and participated actively and extensively by HKU students

The project under application should take the following forms:

    1. Local and overseas voluntary service;
    2. Service learning projects;

Projects can take place inside or outside of Hong Kong.

C. Funding Available

In principle, the amount of fund reflects the merits of the proposed project. Projects that involve the active and extensive participation of students, and result in significant and sustainable impact on the community or service targets will be given higher priority.

D. Assessment of Application

Assessment will be conducted by the Steering Committee of the Fund on the basis of:

  1. Relevance to the objectives of the Scheme;
  2. Originality and innovativeness of the project;
  3. Feasibility and sustainability of the project; and
  4. The impact or anticipated impact of the project to the community and students.

Funding decisions is usually announced within one month upon the closing of application deadline.

E. Conditions of Award

The Fund will be paid in the form of reimbursement upon the successful completion of the project, presentation of the original receipts and evaluation report. Under normal circumstances, projects should be completed within one year upon approval of the Fund. All changes to approved projects and deferral of completion date require the approval of the Steering Committee in advance.

The Fund is a token subsidy and does not mean to assist any student body/group to generate income or profit. It can be held concurrently with other subsidies and sponsorships. However, applicants are required to declare and report on details of any subsidies and sponsorships already received at the time of application or as soon as they are awarded.

Projects of more than 6 months are required to submit interim progress reports (Appendix 1) every six months and one final report (Appendix 2 as the cover sheet) within one month upon the completion of project. Projects of less than 6 months are required to submit one final report only. The final report should include:

  1. An account of the activities carried out (with information on date, time, venue, number of participants, etc);
  2. An evaluation of the project with details on:
    • Outcomes of the of the project against agreed objectives;
    • Results achieved;
    • Use of the Fund;
    • Ways of disseminating the project results or findings inside and outside of HKU;
    • Obstacles encountered and areas for improvement;
    • Feedback and evaluation by HKU students (e.g. learning reports, reflective journals, questionnaire, focus group, etc.) and beneficiaries (e.g. surveys, focus groups, etc.);
  3. Further developments and sustainability of the project;
  4. A financial statement with all the original receipts;
  5. A video and/or photo CD of all the project activities;
  6. A research report or other publications produced by the project (if any); and
  7. Three selected learning journals of the participants.

Please note that CEDARS will NOT involve in any financial transactions or accounting work of the project team. If needed, CEDARS can offer advice on financial management and fund-raising strategy. Moreover, CEDARS may invite project teams for meetings to review the progress during the project implementation phase. Upon completion of the projects, project teams may be invited to present their findings and outcomes to the HKU community and wider public. CEDARS may also use the materials provided in the report for publicity purpose.

F. Application Procedure

Applicants should submit their application and proposal online.

Project proposal should be limited to 8 pages (in 12-point font) and include the followings:

  1. Project title;
  2. An executive summary;
  3. Objectives of the project;
  4. Description, format and schedule of activities (e.g. date, time, duration, venue, and target number of participants, etc.);
  5. For projects that include a service trip, it should provide information on all pre-trip activities and post-trip activities;
  6. Information of the student society / group with CV of the project coordinators;
  7. Information of the partner organisation or NGO (if any);
  8. Expected number of HKU participants;
  9. Type and expected number of service targets;
  10. Expected outcomes, achievements, impact and contributions of the project
    • On volunteers
    • On service targets
    • On local community being served
  11. Budget
    • Income (e.g. programme fee, contribution by volunteers, etc.)
    • Other sources of financial support (e.g. donation, sponsorship, etc.)
    • Expenses (on the volunteers and on the activities/programmes/trip)
    • Amount of grant being sought
  12. Method of project evaluation
    • On volunteers
    • On service targets
    • On local community being served
    • Overall project evaluation
  13. Sustainability of the project
  14. Plan on how to share the project outcomes and impact with the HKU community.

Applicants with preliminary ideas are welcome to meet with Student Advising Officers at CEDARS for advices and comments before drafting a comprehensive proposal. A successful applicant will be disqualified and/or, where appropriate, be required to refund the Grant if he/she provides any false or misleading information to the Steering Committee.
